Instrument Check Room

Description: This room is used to store instruments so that people don’t need to carry them around with them everywhere.

Instructions:

  • Take the instrument (or other large items) from the person
  • Take the tickets. Place one half of the ticket with the instrument
  • Give the other half of the ticket to the person
  • When someone comes to pick up their item, take their ticket to see what item it matches, then give them the matching item

Registration/Help Desk

Description: This is where people will check in to the conference and get all of their materials. You’ll assist people in getting their badge and direct them to someone who can help to answer questions as necessary.

Conference Events

Volunteer 1: Stand at the door to enter the performance space; Welcome people and check that they have a conference badge or an individual ticket. If they do not have a badge, ask that they go to registration to get a badge or a ticket.

Volunteer 2: Help the artists backstage by making sure they have the stands and chairs they need and assisting with setting up technology if possible.

Lecture Rooms

There is often one volunteer for these rooms. Your job is to stand at the door, welcome people, and check that they have a badge or ticket. If the presenter needs assistance, please feel free to help them or to contact help.

Rehearsals

If you are volunteering for a rehearsal, please just ask the conductor if they need any assistance. You may help set up stands and chairs. If they do not need help, you can stay to listen to the rehearsal or leave and come back at the end of rehearsal to check in.

Competition Volunteering

Volunteer 1: 

Help to make sure competitors are present before it is time for them to compete. If they are not at the concert hall, use the sheet above to find where they are practicing and go there to see if they are there.

Volunteer 2:

You are the proctor. Your job is to tell the competitors what music they will be playing. Please show the competitor the sheet that shows them what music to play (we will have this printed for you at the room)

Read the competition instructions to the competitor:

-Please enter the room and approach the stand

-You are not permitted to talk

-Play each section of music required and then leave without talking
